Guidelines on Payments, Schedules and Completing your Program

Overview

Amazon pays 100% of your tuition up to the annual maximum limit. It is your responsibility to pay any tuition over the annual maximum limit directly to your school. The annual maximum limit is $5,250 for full-time associates or $2,625 for part-time associates per calendar year. Covered below are Career Choice payment processes, schedules, and guidance on reporting grades and program completion.

 

Paying tuition fees with Career Choice

To start the payment process you will need a Career Choice tuition voucher. The tuition voucher is generated after you have successfully completed the application process. You can find your tuition voucher on your application dashboard (Navigate to Homepage -> Your Account -> Applications).  Your voucher is also emailed to the email address listed in your A to Z profile page.

You must read the voucher, print, and sign or E-sign the voucher and then deliver or email it to the school.

 You can E-sign your voucher in any of the following ways:

  • Directly from the application confirmation page
  • By clicking on the link provided in the confirmation email
  • On your application dashboard (Homepage->Your account->Applications).

Once you’ve E-signed the voucher, you can download it and deliver or email it to your school. The school will need to complete additional information on the voucher and then submit it directly to Amazon for payment.

Payment typically occurs within 2-4 weeks of Amazon receiving the correctly submitted voucher from the school. However, if you are applying for a program that starts in the next calendar year, your school will not be paid until seven days before the start date of your course(s); this delay is to ensure that your taxes are not affected by receiving this benefit.

In select situations, you may be required to opt for reimbursement of your tuition fees, this is ONLY if your school does not use Amazon payment processes. While most active network schools use our Amazon payment processes, there are a small number that don’t. Schools that do not use our payment processes will require you to pay up front and request reimbursement from Amazon. In this case, you'll pay the tuition fee directly to the school. After you pay, you will submit receipts and an itemized tuition bill to Career Choice for tuition reimbursement as early as the course start date and up to 60 days after the conclusion of the course. You will be reimbursed for 100% of the total tuition bill (up to your remaining annual budget) as part of your regular pay cycle. This can take six to eight weeks. To upload receipts, navigate to the Homepage -> Your Account -> Upload receipt -> Select application type (book/fees or tuition) -> Select application number -> Attach files -> Submit

 

Common questions related to the payment of tuition fees:

I completed the application process, why wasn’t my voucher generated?

Your tuition voucher is generated only after your application is successfully approved. You can track the status of your application by navigating to Homepage -> Your account -> Applications. If your application has not been approved, it may be due to the following reason:

  • Cohort & onsite programs have a maximum number of seats per cohort, and seats are first-come first-serve, so you may be on a waitlist if the maximum number of enrolled students has already been reached.

 

Why can’t I find the voucher in my email?

Career Choice uses the email address listed on your A to Z profile page for all communications. This includes sending information about your application process including your tuition voucher. Please check this email address for communications from Career Choice. If you wish to use another email for Career Choice correspondence, make sure to update your preferred email address in your Amazon A to Z account. You may need to check your spam folder for communications if you don't see them in your regular inbox.

 

Do I need to submit an application every time I need to pay my school?

Yes, you will need to submit a new tuition application every time you enroll in classes you wish for Amazon to pay.

 

I still have a pending payment from a previous application. Can I apply for another tuition voucher?

No, you will not be able to submit additional tuition applications while there are pending payments on your account. You will be able to submit a new application once all outstanding tuition payments have been processed.

 

How long does it take for the payment to process from Amazon to the school?

Payment typically occurs within 2-4 weeks of Amazon receiving the completed voucher from the school. However, if you are applying for a program that starts in the next calendar year, your school will not be paid until seven days before the start date of your course(s); this delay is to ensure that your taxes are not affected by receiving this benefit. It is your responsibility to work with the school to make sure that the tuition voucher is sent to Amazon on time. This includes making sure the school emails the voucher to the correct email address and to ensure payment is processed no later than 45 days after the class start date. Check the status of the payment by following the path Homepage -> Your Account -> Applications, which will show the status of all applications.

 

I am already enrolled in a certificate or degree program. Now that I am eligible for Career Choice, will Career Choice reimburse what I have already paid?

No, Career Choice funds cannot be used for courses that began before you became eligible for Career Choice or before your Career Choice voucher application was approved.  Once you are eligible, as long as you are enrolled in a Career Choice approved program, you can use the benefit to fund the remainder of your program.

 

Reimbursement of books and associated fees with Career Choice

Career Choice will reimburse you for books and associated class fees as long as it does not exceed your annual maximum budget. You can submit book and fee reimbursements after the course start date and up to 60 days after the course ends. Educational expenses that can be reimbursed by Career Choice include:

  • Books required for your classes
  • Fees required to attend the school, such as a student ID fee or lab fees
  • School exam fees or certification exam fees related to your academic program

Please note: Career Choice will not reimburse any fee that is not directly related to completing the education e.g. any transportation costs, hotel stay, parking, late fees or meal costs.

A  paid invoice or receipt is required to serve as a proof of payment. To upload receipts, navigate to the Homepage -> Your Account -> Upload receipt -> Select application type (book or tuition) -> Select application number -> Attach files -> Submit.

 

Cancellation and refunds

In case you have made an error in the application process such as applying to the wrong program or wrong school, you can cancel your application before the payment status changes to 'Payment Initiated' or 'Paid'. You can track the status of your application by navigating to the Homepage -> Your account -> Applications. Please note that you cannot undo the cancellation of an application. If you cancel by mistake, you will need to submit a new application. If you missed the cancellation window and need to request a refund for an academic program already paid for, reach out to the school to discuss their refund policies. If the school agrees to issue Amazon a refund, then visit the Career Choice website to start the refund process. Navigate to the Homepage -> Your Account -> Request a refund to start the process. The funds will be added to your budget once the refund has been processed. This can take between 4-6 weeks or longer depending on the school’s policies.

 

Common questions related to cancellations and refunds:

Due to personal reasons I cannot continue my education, can I get a partial refund?

Each of our partner schools have their own refund policies. Depending on your school’s policy, this request may or may not be supported by the school. If the school provides a partial refund to Amazon, this will be reflected in your Career Choice budget so that you can apply it towards a different educational program. If the school does not offer partial or complete refunds, Amazon Career Choice will not be able to reapply funds to your Career Choice budget.

 

Schedule Accommodations

You can discuss any scheduling needs with the local HR team as many sites allow for schedule adjustments to support your classes. This will help you to attend classes without using paid personal time or unpaid time. The process for applying for a school accommodation will differ between business organizations and entities. You should discuss with your local HR the specific process for your site.

 

Failed and Missing Grades

You will be required to upload a transcript showing your grade(s) for the course(s) covered by your application. If you have three or more applications with failed or missing grades anytime throughout your eligibility, you will be blocked from submitting any future applications.

 

Common questions related to failed and missing grades:

Are grades given by the Career Choice program?

No, the Career Choice program does not award any grades to you. Grades are given by the partner schools after you have successfully completed your course(s). Grades are also referred to as transcripts or report cards by some schools. You should follow up with your school to get a certificate, transcript, report card, or other documentation indicating that you successfully completed your course(s). Documentation should clearly state your name, the name of the school, the name(s) of course(s), and the grade(s) received. You can upload your transcript to Career Choice by navigating to (Homepage -> Your account -> Upload transcript)

 

Will I lose my Career Choice benefit or be required to repay Career Choice if I fail a course?

No, you will not be required to repay Career Choice for any failed courses. However, you will lose access to your tuition benefit if you accumulate three applications with failed or missing grades. You are required to upload your grades for each application, and will be blocked from submitting a new application if you have three applications with failed or missing grades.

 

Does Career Choice pay for retaking exams for failed courses?

Career Choice does not pay the fee to retake an exam from a failed course. You will have to bear this cost out of your own pocket.

 

Reporting Completion 

A requirement of participating in the Career Choice program is that you must report that you have successfully completed a program. To do this, navigate to the website to report completion and upload documentation.

  1. Reporting Completion(Homepage -> Report Completion OR Graduate-> Confirm Graduation)
  2. Uploading transcript(Homepage -> Your account -> Upload transcript)

Acceptable documentation to confirm completion and passing grade include a transcript, credential, certificate, or diploma provided by the school indicating your successful completion
